cOPY / fILE cLERK

Position: Copy / File Clerk
Department: Collections
Status: Non-exempt
Days / hours of work: Mon. - Fri. (40 hours/week); OT available with approval
Position grade: Entry Level

JOB SUMMARY

This position provides all aspects of general office support for a high volume legal collections department. The incumbent performs daily photocopying for the department for all incoming and outgoing documents. Supports the Collections Department staff with a heavy volume of incoming and outgoing mail. Provides daily maintenance of the filing system including pulling files when requested and refilling.

ESSENTIAL JOB FUNCTIONS

  • Daily photo-copying of all incoming and outgoing documents;
  • Responsible for mailing out daily time sensitive documents to clients or courts;
  • Responsible for making panda-flexes for new files that are opened in JST;
  • Printing of mailing labels for State Court Clerks as well as all collection clients;
  • Monthly lunch time phone coverage or when needed;
  • Monthly meter readings from all copy machines and submit to Ikon;
  • Responsible for postage of all collections outgoing mail including FedEx and self-addressed envelopes;
  • Responsible for delivering daily credit card payments to the accounting department for posting;
  • Responsible for picking up checks daily and making sure they are singed by a partner;
  • Distribution of signed checks to the appropriate individuals in the collections department;
  • Re-file files in file cabinets. Move closed files to boxes;
  • Locating and pulling files that are missing;
  • Check daily for paper and toner for copier, refill when necessary;
  • Be available at all times to help out Manager, Associates and Partners when needed;
  • Other duties or projects assigned by management.

MINIMUM JOB REQUIREMENTS

  • Must have previous experience using a PC
  • Advanced data entry skills (speed and accuracy required)
  • Strong MS Word skills required
  • Ability to work in a fast-paced, deadline driven environment
  • Must be able to multi task and prioritize work load.

KNOWLEDGE/SKILLS/EXPERIENCE AND ABILITIES REQUIRED

Successful candidate must display high-speed, accurate data entry and document merge skills in MS Word. Ability to work with complex copy machines and postage meters.
